    Choosing a CRM is one of the most consequential technology decisions a nonprofit makes. The right choice organizes your donors, programs, and operations. The wrong choice creates an expensive system no one uses.

    Most nonprofits choose by watching a demo and comparing feature lists. This is backwards. Features matter less than fit. A CRM with every feature that does not match your workflows is worse than a simpler one that does.

    Start with your workflows. How do donors enter your system? How are programs tracked? What reports does the board need? Map the actual flow of information through your organization before evaluating a single platform.

    Consider total cost, not sticker price. Implementation, training, data migration, ongoing support, and the cost of switching if it fails. The cheapest CRM is rarely the least expensive.

    Evaluate integration. A CRM that cannot connect to your email, accounting, or fundraising tools creates new silos while solving old ones. Integration capability is not a feature—it is a requirement.

    Finally, talk to organizations like yours who actually use it. Ask what broke, what surprised them, and whether they would choose it again. The vendor's references are curated; peer references are honest.
